The messages you answer between lessons

Coaching scales. The admin doesn’t. Each of these is a few minutes on its own, and together they’re your evening.

3:05pm · the radar

A storm cell twenty minutes out. Forty families to tell before the 3:30 lesson.

Sunday · parent

“Ruby missed Tuesday for the school concert. Can she make it up?”

Monday · your bank

Term fees from 38 families, three Active Kids vouchers, and two transfers with no name on them.

8:40pm · parent

“Is Thursday 5pm still free for a private? And how many lessons are left on our pack?”

Built around how a tennis program runs

Nine jobs Rundesk takes off your plate

Rain-outs

Rain or heat call, sent in a minute

Now: you call it half an hour out, then text, ring and post until every family knows.

With Rundesk: cancel the affected lessons from your phone. Every family hears by SMS or email, and each player gets the make-up your policy gives. The rain forecast for your venue is on your home screen.

Make-ups

Make-ups that follow your rules

Now: brokering each make-up by text, and trying to remember who gave notice.

With Rundesk: weather cancellations always earn a make-up. For absences you choose, for example only with 24 hours' notice. Parents pick a class at their level with room.

Term enrolment

Term fees up front, late joiners pro-rata

Now: rebuilding class lists every term and working out what a late joiner owes.

With Rundesk: families enrol by level, ball colour or squad and pay the term up front. Late joiners are charged only for the lessons left.

Re-enrolment

Roll everyone into next term

Now: a December of texts to find out who's coming back.

With Rundesk: offer every player their spot for next term, hold it until your deadline, then release unconfirmed spots to the waitlist.

Fees

Know who's paid before you walk on court

Now: matching transfers, cash and Active Kids vouchers to families, and sibling discounts by hand.

With Rundesk: card, bank transfer, cash and Active Kids sit on one list with sibling discounts applied. Unpaid players are flagged on the roll, and overdue families get a reminder.

Private lessons

Privates without the double bookings

Now: slots booked by text, two families in one time, and a lesson count on paper.

With Rundesk: weekly slots and lesson packs book straight into your calendar. Clashes are checked across every coach, and each pack counts down on its own.

Coaches and courts

Coaches, courts and cover

Now: who's on which court, texting around for cover, and payroll from memory.

With Rundesk: assign assistant coaches and courts to each class, hand classes to another coach when someone's sick, and run pay from who actually coached.

Roll

The roll on the coach's phone

Now: a clipboard, and a coach who doesn't know a player hasn't paid or has asthma.

With Rundesk: coaches mark attendance on court, with unpaid players, medical notes, make-ups and trial players flagged.

Trials

Enquiries that turn into enrolments

Now: leads from the website and phone calls, lost somewhere in your messages.

With Rundesk: every enquiry lands in one list. Book a trial or assessment, then send an enrolment offer at the right level.

One day on court, with Rundesk running the desk

You coach. Rundesk handles the bits in between.

  1. 6:30am

Adult squad. Your assistant ticks the roll on their phone. One player whose term fee is unpaid is flagged quietly.

  2. 10:00am

A new enquiry. A parent asks for a trial on your website. You accept Saturday's 9am assessment, and they get the confirmation.

  3. 2:50pm

Storm coming. The radar looks bad. You cancel the 4pm and 5pm classes, 32 families get a text, and every player gets a make-up.

  4. 6:00pm

Privates under cover. Your 6pm private goes ahead. The family's pack shows one lesson left, and they've already been sent the next one to buy.

  5. 7:00pm

Home. No phone tree. Parents are already booking their make-ups, and overdue reminders went out on their own.

Holiday camps

January camps, booked and paid before Christmas

Camps sit alongside your term classes, so a family with a child in orange ball books camp days from the same account and pays once.

  • Days or the whole weekFamilies book single days or the full week, with a different price for each.
  • Sibling pricingA second child is discounted automatically, with no maths at the desk.
  • Daily listsWho's in each day, with medical notes and pick-up details, on every coach's phone.
  • Open in a few clicksCopy last year's camp, change the dates, and send the link to every family.

Questions tennis coaches ask

Do parents need to download an app?

No. Parents book, pay and pick make-ups from a link on their phone.

Who decides when it's a rain-out?

You do. Cancel the lessons from your phone and every family is told by SMS or email straight away, with make-ups under your policy.

Can late joiners pay part of the term?

Yes. They're charged only for the lessons left in the term.

Can I run privates alongside group classes?

Yes. Privates, packs and group classes share one calendar, and clashes are checked across every coach.

Some families pay cash, by transfer or with Active Kids.

That's fine. Mark it paid when it arrives and it sits on the same list as card payments.

Finish your last lesson and go home.
