Privacy Policy

This policy explains what personal information Rundesk collects, why we collect it, and how we use, share and protect it. It covers our website, the Rundesk platform used by businesses, and the booking pages people use to book with those businesses.

1. Who we are

Rundesk(ABN 39 473 406 531, “we”, “us”) is an Australian booking and business management platform for coaches, tutors and other class-based businesses. We are based in Sydney, New South Wales.

We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

2. Businesses that use Rundesk

When you book a class, lesson or appointment through a business’s Rundesk booking page, that business is the one you are dealing with. They decide what information to ask for and how they use it to run their classes, and their own privacy policy also applies. We store and process that information on their behalf so the platform can work.

If you have a question about how a particular business uses your information, please contact them first. You can also contact us and we will help where we can.

3. What we collect

From businesses using Rundesk:

  • Contact details such as name, email address and phone number.
  • Business details such as business name, ABN, logo, venues, programs, prices and staff or coach details.
  • Account and billing information. Card payments are handled by Stripe, so we do not store full card numbers.
  • Messages and support requests you send us.

From people who book with a business:

  • Your name, email address and phone number.
  • Details of each participant you book for, which can include a child's name, date of birth, school or level.
  • Emergency contact details, and health information such as medical conditions or allergies if the business asks for it.
  • Bookings, attendance, payments, refunds and receipts.

From visitors to our website:

  • Pages viewed, time on each page and how far you scroll.
  • Device type, browser, screen size and language.
  • Approximate location (city, region and country) worked out from your IP address. We do not store your IP address.
  • The website or link that brought you here, including campaign tags on links we send.
  • Whether you opened or submitted our free-trial form.

We only collect health information when it has been provided with consent, for the purpose of keeping participants safe.

4. How we use information

  • To provide the platform: taking bookings, managing classes and attendance, processing payments and sending confirmations, receipts and reminders.
  • To give businesses the information they need to run their classes safely.
  • To provide customer support and respond to enquiries, including free-trial requests.
  • To understand how our website is used and improve it, including measuring our marketing and outreach.
  • To keep the platform secure and prevent fraud or misuse.
  • To meet our legal, tax and accounting obligations.

5. Cookies and analytics

We use a small number of cookies and similar browser storage:

  • Essential: keeping you signed in to your account, and remembering your language preference.
  • Analytics: a random visitor ID, so we can tell new visitors from returning ones, and a visit ID kept in your browser. If you arrived through a personalised link we sent you, we may also remember the name in that link.

We also use Vercel Web Analytics, which measures page views in aggregate without cookies. We do not use advertising cookies or sell your information.

You can clear or block cookies in your browser settings. Essential features such as signing in may not work without them.

6. Who we share information with

We share personal information only where needed to run the service:

  • With the business you booked with.
  • With service providers who help us run the platform: website hosting and analytics (Vercel), database and website hosting, payment processing (Stripe), email delivery (Resend), and analytics storage (Upstash).
  • Where required or allowed by law, for example to a regulator or law enforcement agency.
  • With a buyer or successor if our business is sold or restructured. They would be bound by this policy.

We do not sell personal information.

7. Overseas storage

Some of our service providers store or process information outside Australia, including in the United States. We choose providers with strong security practices and take reasonable steps to make sure they handle personal information consistently with the Australian Privacy Principles.

8. Children's information

Many classes on Rundeskare for children. Information about a child is provided by a parent or guardian when they book, and is used only to manage the child’s bookings and keep them safe. Parents and guardians can ask to see, correct or delete it at any time.

9. Security and retention

We use encrypted connections (HTTPS), access controls and reputable hosting providers to protect personal information. No system is completely secure, so we cannot guarantee security, but we work to protect your information and will act quickly if something goes wrong. That includes notifying you where the Notifiable Data Breaches scheme requires it.

We keep information for as long as it is needed for the purposes above. Booking and payment records are kept as long as tax and accounting law requires. Detailed website visit records are deleted after about 30 days.

10. Accessing and correcting your information

You can ask to access the personal information we hold about you, or to correct or delete it, by emailing tom@rundesk.com.au. We will respond within a reasonable time, usually within 30 days. We may need to confirm your identity first. If the information belongs to a business’s records, we may pass your request to them.

11. Marketing

We may contact businesses about Rundesk by email, text or social media. You can ask us to stop at any time by replying to the message or emailing tom@rundesk.com.au, and we will not contact you again. We do not send marketing to people who only book classes through a business.

12. Complaints

If you have a concern about how we have handled your information, please email tom@rundesk.com.au and we will try to resolve it. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

13. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top. If we make significant changes, we will let businesses using Rundesk know.
